Duty Assignment (Deputations)
Purpose - Assigns one or more employees to a duty (e.g., invigilation, training, deputation to another school) so they are correctly recognised as present-on-duty instead of absent.
Who Can Use It
- School Admin, DHE, and Platform Admin: create, update, list, and export duty assignments.
- Employees: view their own duties and self-request a new duty (which the admin approves).
Key Capabilities
- Create a duty for a date range with an optional daily time window (from/to time).
- Assign multiple employees to the same duty; add or remove employees later.
- "Continue school" flag: after the duty, the employee must check out from inside the school premises.
- Duty status: pending, active, or rejected. Duties also carry a computed window state (upcoming, current, or past).
- List employees on leave in a date range so an administrator does not accidentally assign them a duty.
- Export duty assignments to Excel.
- Employee self-request path that surfaces to the school administrator as a pending duty.
How to Use It
- School Admin creates a duty with department, description, date range, optional time window, and the list of employees.
- On any day within the duty, an assigned employee's day counts them as On Duty if they do not physically punch at school.
- Employees can view their upcoming, current, and past duties in the app.
- An employee can send a self-request duty that the administrator later approves or rejects.
Rules & Restrictions
- A duty cannot be assigned on a state-declared holiday.
- Employees who have approved leave in the duty period cannot be assigned to that duty.
- The current status and window state are computed server-side; the client cannot override them.
