Profile Update Approval Workflow

Purpose — Allow employees to request changes to their own profile without granting them direct edit access, and let administrators review each request before it takes effect.

Who Can Use It

  • Submit a change: employee, DHE Employee.
  • Review (approve / reject / bulk approve): School ADMIN, DHE, and DHE Employees with explicit Update permission (or admin designation, for department employees).
  • Acknowledge outcomes: the requesting employee.

Key Capabilities

  • Submit section-wise change requests (basic info, address, contact, professional details, or documents).
  • Track the status of a submitted request — pending, approved, or rejected — with reviewer remarks.
  • Administrators can list all pending requests within their scope, preview attached documents, and approve or reject individually or in bulk.
  • Employees can see requests whose outcome they have not yet acknowledged and mark them as acknowledged after reading.
How it Works
  1. The employee makes a section-wise change from the profile page.

  2. The system stores the proposed changes as a pending request rather than applying them directly.

  3. An administrator reviews the request, optionally adds remarks, and approves or rejects it.

  4. Approving applies the changes to the profile; rejecting leaves the profile unchanged.

  5. The employee sees the outcome, reviews the remarks, and acknowledges it.

Rules & Restrictions

  • Only one pending request per section per employee at any time; a second submission for the same section is rejected as a conflict.
  • The request must contain at least one actual change.
  • Reviews are one-way — a reviewed request cannot be re-approved or re-rejected.
  • Employees can acknowledge only their own outcomes and only after review. School ADMIN reviews are restricted to their own school's employees.
  • DHE Employee reviewers need explicit Update permission for school employees or an admin designation for department employees.
  • Approving a request applies changes atomically to the employee profile, including any related sub-records (address, professional info, documents).
