Message Folders and Organization

Purpose  - Provides mailbox organization similar to an email client, so users can quickly find and manage their messages. The system offers standard folders and lets users create their own folders for personal organization. 

Who Can Use It 

Anyone who can receive messages on the platform — schools, employees (school, DHE, or department), students, and parents. 

Key Capabilities 

  • Access default folders: Inbox, Sent, Drafts, and Outbox. 
  • Create personal, custom folders with names of your choice. 
  • Rename or delete your own custom folders. 
  • Move an incoming message from Inbox (or another folder) into any of your folders. List all your folders and see how many messages each folder contains. 
  • View messages inside a specific folder with pagination and search. 
How to Use It 
  • Open the messaging area and go to the folder list. 
  • Click New Folder, provide a name, and save it. 
  • To move a message into a folder, open the message and select Move to Folder, then pick the folder you want. 
  • Use the folder list to switch between folders and view their contents. 
  • Rename or delete your custom folders from the folder options menu. 

Rules & Restrictions 

  • The following folder names are reserved and cannot be used for custom folders or renamed to: inbox, sent, drafts, outbox, spam, and junk
  • You can only manage folders you own. You cannot rename or delete another user's folders. 
  • When a custom folder is deleted, messages inside it are moved back to the Inbox rather than lost. 
  • Inbox and All Mails filtering respect your registration date, so very old broadcast messages sent before your account was created may not appear in your list.
