School Location and Geofence Management
Purpose - Defines and maintains each school's attendance geofence, timings, and check-in buffer, so that employee punches can be location-verified.
Who Can Use It
- School Admin: sets and updates the school's primary location and adds additional attendance points (up to a DHE-set cap), subject to a lock rule.
- DHE / Platform Admin: updates any school's location without lock restrictions, unlocks a school for further updates, sets the maximum number of additional locations, and reviews location audit logs.
Key Capabilities
- Primary location with centre coordinates, radius, school start and end times, and a check in buffer (in minutes).
- Additional locations (e.g., "Main Campus", "Sports Ground") with their own coordinates and radius, capped by a DHE-configured limit.
- Optional lock behaviour: after a set number of updates, a school administrator must request a DHE unlock before further changes.
- Location update audit trail showing what changed, when, and by whom.
- Query for schools that have not yet been geofenced.
How to Use It
- School Admin opens the school location screen and sets the centre, radius, school timings, and check-in buffer.
- If the school has multiple sites, School Admin adds additional locations up to the configured maximum.
- Once the update count reaches the lock threshold, School Admin sends an unlock request; DHE unlocks the school and further changes can be made.
- DHE can update any school's location directly and inspect the audit log for that school.
Rules & Restrictions
- Radius must be greater than zero; coordinates of (0, 0) are rejected.
- Check-in buffer is limited to the DHE-configured maximum for the current academic year (falls back to a system default when not configured).
- After a school reaches its lock threshold, it must be unlocked by DHE before it can be updated again.
- Reducing the maximum number of additional locations soft-deletes the most recent extra locations to bring the count within the new limit, in one transaction.
